Terms of Service

1. What MailHow is
MailHow is an email hosting service: it receives, stores, and sends email for domains you connect, and provides a web application plus IMAP/SMTP access to your mailbox. MailHow is operated by MailHow LLC, reachable at hello@mailhow.com. A free account can receive and read mail on domains you own (up to five). Sending mail requires a paid subscription.
2. Your account
You must provide accurate information, keep your password secure, and be at least 16 years old (or the age of digital consent where you live). You are responsible for activity that happens through your mailbox and for the domains you connect. Only connect domains you own or are authorized to manage.
3. Acceptable use
MailHow is for legitimate personal and business correspondence. You may not use it to send unsolicited bulk email (spam), phishing, malware, or harassment; to violate any law; or to send mail on behalf of identities or domains you do not control. Sending volume is rate-limited. Our acceptable use policy is part of these terms; we may suspend accounts immediately and without notice when we see activity that endangers other users’ deliverability or the service itself. On a shared mail platform, one abuser harms everyone.
4. Plans, payment, and refunds
The paid plan is billed at the price shown on our pricing page (currently $29 per year), charged in advance. Checkout is provided by sell.app, our storefront, and card payments are processed by Stripe.
Annual plans renew automatically at the end of each term unless you cancel first; you can cancel any time, and cancellation takes effect at the end of the current paid period. Multi-year plans do not renew. They are a single payment covering a fixed period, after which sending pauses until you choose to buy again. Nothing is charged automatically. We email you before a multi-year term ends. Receiving mail on domains you own remains free either way.
New paid subscriptions carry a 30-day money-back guarantee: email hello@mailhow.com within 30 days of your first payment for a full refund. The guarantee does not apply to accounts suspended for abuse under the acceptable use policy, or that initiate a payment chargeback instead of requesting a refund. If a payment fails, sending and adding new domains are paused until payment succeeds; your inbox and stored mail are never deleted for non-payment.
5. Your data and content
Your email belongs to you. We claim no ownership of or license over the content of your messages beyond what is technically necessary to store and deliver them. You can export your mail at any time over IMAP and leave by removing your DNS records. See the privacy policy for how data is handled.
6. Availability and warranty
MailHow is provided “as is” without warranties of any kind. We work to keep the service reliable (monitoring, nightly backups) but do not guarantee uninterrupted availability or that no mail will ever be delayed or lost. For mail you cannot afford to lose, keep your own backups via IMAP export. Features may change as the product evolves.
7. Liability
To the maximum extent permitted by law, MailHow’s total liability for any claims arising from the service is limited to the amount you paid us in the twelve months before the claim. We are not liable for indirect or consequential damages, including lost profits or lost data.
8. Termination
You may close your account at any time by emailing hello@mailhow.com; we will delete your mailbox and data as described in the privacy policy. We may terminate accounts that violate these terms. If we ever discontinue the service, we will give at least 30 days’ notice so you can migrate your domains and export your mail.
9. Changes and governing law
We may update these terms as the product evolves; material changes will be announced by email to your account address before they take effect. These terms are governed by the laws of the operator’s country of residence; mandatory consumer protections of your own country remain unaffected.
